Saint Martin de Porres High School is seeking an PowerSchool/Academic Systems Administrator to be part of an innovative urban college-prep high school experience.

OUR ORGANIZATION

Saint Martin de Porres High School is a Catholic college-preparatory program designed exclusively for students of modest means. Eighty percent of our students will be the first in their extended families to go to college. Our rigorous curriculum, which includes students working in a corporate environment, was designed specifically for our school by a committee of prestigious educational leaders. Saint Martin was founded in 2004 and is chartered by the state of Ohio and accredited through the Ohio Catholic Schools Accrediting Association. Our mission is to help our scholars become College and Career Prepared and Ready for Life, with a commitment to the values of work, study, service, leadership and prayer. We are a part of the national Cristo Rey Network of schools founded in 2001.

This is a 12-month per year position.

POSITION SUMMARY

Saint Martin de Porres High School is seeking a dedicated and skilled PowerSchool/Academic Systems Administrator to join our academic administrative team. The PowerSchool/Academic Systems Administrator will be responsible for managing all aspects of the PowerSchool system, including user accounts, security roles, customization, and configuration. This role plays a critical part in supporting our educational mission by ensuring accurate student records, facilitating communication between stakeholders, and leveraging data to drive decision-making.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

This is a general representation of the key duties and responsibilities required of this position. Other duties may be assigned as needed.

  • Systems Integration: Manages the installation, configuration, and integration of all academic management systems, ensuring optimal performance, efficiency and data accuracy.

    • Current Applications: Clever, Google Classroom, FinalSite, KickBoard, ParentSquare, and MobileServe

  • Data Integration: Oversees the integration of student data into testing portals, personalized learning platforms, and other applications/platforms as needed

    • Current Applications/Programs: College Board, Edmentum, IXL, Riverside Insights (IOWA), and NWEA MAP

  • Scheduling: Builds comprehensive class/bell schedules in PowerSchool based on the annual Master Schedule, adherence to academic/state requirements, and student preferences

    • Collaborates the Principal, Assistant Principal, and various departments to build annual calendar and master schedule

    • Adjusts/modifies student schedules when advised and/or needed (i.e. transfers)

    • Collaborates with department leads, deans, and administrators to resolve student schedule conflicts

    • Reviews transcripts for prospective transfer students and develops course balance recommendations

  • Policy Compliance: Reviews and stays well-informed on relevant policies, regulations, and best practices related to graduation pathways, student data privacy/security, and other policies as needed; ensuring compliance at all times

  • Data Management: Ensures the accuracy and integrity of student data within the system, including enrollment, attendance, grades, test data, and demographic information.

  • Report Card Processing: Facilitates the grade reporting process at the end of each quarter which includes progress reports and report cards.

    • Oversees the digital distribution of progress reports and report cards for all students through ParentSquare

  • Communication: Serves as a liaison between school staff, parents, and students regarding PowerSchool-related inquiries, updates, and communication.

  • Technical Support: Provides technical support for faculty, staff, and students, resolving issues related to academic software and systems in a timely manner

  • Reporting and Analysis: Generates reports and analyzes data within PowerSchool to monitor student progress, support administrative decision-making, and provide data for all state, diocesan, Cristo Rey Network, and grant reports.

  • Test Administration: Assist the Testing Committee with the integration of student data on various testing portals and collecting test results for integration into PowerSchool

    • Creates testing sessions for all IOWA assessments

    • Uploads rosters for IOWA assessments and NWEA MAP assessments by term (winter, spring, etc.)

  • College Board | Testing Coordination & Support

    • Overseeing standardized testing for students (NWEA Map, IOWA, SAT/PSAT)

    • Supporting testing team and faculty with implementation and testing data

    • College Board: Oversees and manages all access for faculty in regards to PSAT/SAT testing, AP classes, and state data management systems

      • Integrates student data in CollegeBoard to ensure optimal technical performance for PSAT/SAT testing and AP classes

      • Manages the ordering of all AP exams

  • Managing System Platforms (e.g. Riverside, IXL, Powerschool, etc)

    • Adding/Removing staffulty access

    • Monitoring annual invoicing and platform efficiency

    • Advising Principal/Leadership Team on platform effectiveness and usage updates

  • State Graduation Requirements and Student Schedule Alignment

    • Ensures new, current, and transfer student schedules are properly aligned with grade-level cohorts and graduation requirements

    • Ensures academic program and schedule comply with State Requirements

  • Cross-Departmental Support

    • This role will work closely with/support Faculty, Enrollment, CWS, Academic Support Team, College Counseling, and our Main Office

EDUCATION REQUIREMENTS:

  • Bachelor’s degree required

  • Degree preference: Education, Information Systems/IT, Data Analytics, Educational Administration, or a related field

EXPERIENCE:

  • 3–5 years of experience in K–12 academic systems, student information systems (PowerSchool preferred), or school-based operations (e.g., registrar, scheduling, assessment coordination)

  • Proven ability to collaborate with school leadership, faculty, and cross-functional teams

REQUIRED SKILLS AND TRAITS:

  • Knowledge of data privacy regulations and compliance requirements in an educational setting.

  • In-depth knowledge of Ohio Department of Education standards and regulations.

  • Willingness to be trained on additional school platforms as necessary.
